Replacing Paperwork With A Platform Built For The Field
Discuss your projectEngineering and field-based teams operate across multiple sites, often with workers starting and finishing jobs throughout the day, logging hours against different projects, claiming mileage, tracking equipment and managing certifications that expire on their own schedule. Managing this across a workforce using paper forms, spreadsheets or disconnected systems creates a significant administrative burden, for employees completing the paperwork, for supervisors reviewing it and for administrators processing it.
Dunreidy Engineering needed a single mobile platform that would bring all of this together: a system built around how their teams actually work in the field, accessible from a phone, covering everything from daily time logging to certification compliance without requiring a desk or a paper form.
We were the development partner for the Dunreidy Staff Management System, a comprehensive workforce management app for employees, supervisors and administrators, built for the specific operational needs of an engineering team working across sites.
Project Challenges & Needs
Timesheet Workflows Across Multiple Jobs
Field workers log hours against specific jobs throughout the week. Weekly timesheet submission needed structured job-based time entry, pay rate classification, and a supervisor approval workflow, replacing a manual paper process with a tracked digital equivalent.
Expense And Mileage Claims In The Field
Engineers claiming mileage and expenses needed to submit receipts and distances from the field without returning to an office. The system had to support photo receipt capture and mileage entry from a mobile device, feeding into an approval flow for supervisors.
Certification Compliance Across The Workforce
Training certificates and professional certifications expire on different dates across a workforce of multiple employees. Without automated tracking, lapses go unnoticed until a compliance check. The system needed to track expiry dates and alert both the employee and administrators in advance.
Equipment Tracking Across Sites
Tools, equipment and gas bottles move between sites and between workers. Tracking their location and assignment without a structured system leads to loss, duplication and compliance gaps. QR-based scanning was required to make equipment check-in and check-out fast and reliable in a field environment.
Daily Reporting Without A Desk
Supervisors and employees needed to record job notes and site conditions from the field, including photo documentation. A reporting tool that required returning to an office to file notes would simply not be used. Mobile-first capture was essential for adoption.
GDPR Compliance For Employee Data
A workforce management system handling personal data, pay rates, leave records and certifications carries significant data protection obligations. The platform needed to be designed with GDPR compliance from the ground up, not added as an afterthought, with secure access, encrypted data and appropriate controls.

We built a mobile workforce management app for iOS and Android, with a web-based admin panel, delivering:
The system is closed, with access by company invitation only and credentials issued by the administrator. This keeps the platform secure and limited to authorised Dunreidy Engineering employees and supervisors, with no public registration route.

Employee Mobile App (IOS & Android)
Used by field workers and engineers for daily and weekly submissions:
- OTP login with company-issued credentials
- Expense claims: mileage entry and receipt photo upload, with submission and status tracking
- Weekly timesheet: job selection, daily hours, pay rate and approval
- Leave requests: type selection, date range, reason and real-time status of pending and approved leave
- Certification records: view current certs, expiry dates and upcoming alerts
- Job notes: daily notes and photo attachments per job, submitted from the field
- Equipment check-in and check-out via QR code scan
- Gas bottle log: scan or enter bottle details, assign to site, record status
- Push notifications for approvals, rejections, reminders and expiry alerts

Used by team leads and site supervisors to manage and review their teams:
- Real-time dashboard showing employee status, active jobs and current site assignments
- Expense claim review and approval with receipt viewing
- Timesheet review and approval: view submitted hours per employee, approve or reject with comments
- Leave request approval with team availability overview
- Job notes and photo review per job and per employee
- Equipment location and assignment overview per site
- Certification status for direct reports, with expiry alerts

Key Features & Capabilities
Weekly Timesheet And Approval Workflow
Employees log hours against specific jobs each day and submit their weekly timesheet for supervisor review. The approval workflow tracks status, allows rejection with comments, and feeds approved timesheets into payroll-ready exports, replacing a manual paper process end to end.
Certification Tracking With Expiry Alerts
Every employee's training certificates and professional qualifications are stored with their expiry dates. The system sends automated alerts to the employee and administrator ahead of expiry, keeping compliance current without manual monitoring of spreadsheets or paper records.
QR-Based Equipment Tracking
Tools and equipment carry QR codes that employees scan on check-in and check-out. Every movement is logged against the employee, job and site, giving the admin team a complete location history for any item in the register without manual tracking sheets.
Gas Bottle Tracking By Site
Gas bottle location and status are logged and reportable by site, supporting compliance with safe storage and handling requirements. Field workers update bottle status from within the app, giving administrators an accurate site-by-site inventory without visiting each location.
Mobile Expense Claims With Receipt Capture
Mileage and expense claims are submitted from the field with photo receipts captured on the device. Supervisors review and approve from their own interface; approved claims feed into the admin team's payroll processing without any manual data re-entry.
Leave Management With Automated Accrual
Leave entitlements accrue automatically according to rules configured per employee or contract type. Employees submit requests in the app, supervisors approve against a team availability view, and administrators maintain a full leave record without manual calculation or separate HR tools.
Job Notes And Photo Reporting
Daily field notes and site photos are attached to specific jobs and submitted from the employee's device. Supervisors see the full picture of what happened on each job without needing a written report or a debrief call at the end of the day.
GDPR-Compliant By Design
Employee data, pay rates, leave records, certifications, expense history, is encrypted at rest and in transit, with role-based access ensuring each user sees only the data their role requires. Data management tools for access requests and deletion are built into the admin panel.

Paper Eliminated From The Field
Operations
Timesheets, expense claims, job notes and equipment logs previously submitted on paper forms are now captured digitally in the field. The administrative overhead of collecting, processing and filing paperwork is removed from both the employee and the office team.

Automated expiry alerts mean no certification lapses go unnoticed until a compliance check or incident. Administrators have a single view of the entire workforce's qualification status at any time, without managing a separate spreadsheet or calendar.

QR-based tracking gives the team a complete, time-stamped record of where every tool and piece of equipment is, who last checked it out and from which site, removing the ambiguity that previously led to lost equipment and duplicate purchases.
